PromoMats and Vault Medical users can embed Vault content in branded sites using the external viewer. The viewer is available with Public Content Distribution and the Approved Email Integration, which you must configure before using the viewer.

Tracking External Views

When configured, you can track and report on the number of views per document viewed through an external viewer. To enable external viewer tracking, activate the External Viewer Data Mining job under Admin > Operations > Job Definitions. It is recommended to set the job run time at a time when you expect Vault to be least active.

On the initial run, the system will pull activity information from the last 14 days or up to 120 days of activity.

The External Viewer Data Mining job logs the following information:

  • Document name
  • External Viewer channel
  • CRM Org, if applicable
  • Date and time
  • Document version
  • View count

Vault stores this information in the External Viewer Data object.

Reporting on External Views

You can create reports and dashboards for the External Viewer Data object. For an example report, click here to download the VPK, then import and deploy the report configuration. Once deployed, you can edit and run the External Viewer Data report to suit your needs.

You can complete all steps in this article with the standard System Administrator, Business Administrator, or Vault Owner security profiles in PromoMats and MedComms. If your Vault uses custom security profiles, your profile must grant the following permissions:

Security Profile Object: External Viewer Data: Read Ability to read External Viewer Data object records and run the External Viewer Data report.
Security Profile Object: External Viewer Data: Create, Edit, Delete Ability to create, edit, and delete External Viewer Data object records.
